A general assembly: from invitation to minutes
Prepare the agenda, check voting authority and preserve decisions that remain understandable.
Updated on
Begin with the bylaws applying to the building and identify who may participate and vote. Set a focused agenda and provide documents for review. Do not assume every decision uses the same majority or weighting method.
Check the legally appropriate notice timing and delivery method before distributing an invitation. Prepare a rights-holder list and relevant proxies. A digital vote alone does not ensure validity: identification, quorum, participation and the decision type still require review.
Record attendees, the exact proposal, vote-counting method, outcome and objections. Attach approved documents and name an implementation owner. Obtain appropriate advice for a disputed or exceptional decision rather than relying on a template.
